URGENT - Pricing advice for licensing music for a documentary film soundtrack

A design firm contacted me for a quote to use a track of mine as a soundtrack for a short documentary they're producing for a non-profit museum. How do I know what to quote them? I've seen wildly divergent pricing online for such things. Any advice how to handle this? I don't want to underprice, but I don't want to overprice either. Any way to get them to tell me what they're willing to pay, without sounding amateurish?

That's a great question. We've all been in that position. I don't have a perfect answer for you but I would probably just get back to them saying that your normal quote is likely much higher than what they are budgeted for as a non profit, but that you would like to be flexible and work something out. Then ask if they could give you an a ball park of what they are budgeted for and you can see if you can try to make that work, or at least start the dialogue within range.

If they are serious, they should get back to you and then you can decide whether or not you want to play a little ball and negotiate, or just take it.

I'm sure this approach will not get you the highest amount possible, but it also prevents you from losing the gig. A normal rate could be in the thousands, but if they are thinking hundreds and you start at $1000, then you risk scaring them off. At least to my mind. Depends how much you need something like this as well.

Mah shlomcha, Achi? A good strategy might be to quote them a higher price, but mention that you've never licensed to a non-profit organization before so you don't know if or by how much the rate should diverge. Make it clear that you are willing to work with them within their budget.

If THEY reached out to YOU about a specific song initially, then they likely WANT to make a deal.

Also, be sure to find out how this documentary will be show or broadcast. If you know how the system works, you may be able to earn some back-end performance royalties as well.

I didn't quote them, and instead asked them for an offer, and they haven't gotten back to me yet. I'm afraid I might not have sounded too professional. It's only to be used for a couple of minutes of the film, so I can't imagine they would offer much, but it seemed apropos to the material.

 

I wasn't contacted by the non-profit itself, rather by the graphics agency that's putting it together for them.

My guess is that you didn't really hurt yourself. they are probably just reaching out to a number of people and being flaky.
